01. Who this policy covers

Naturefilm Studios is the business responsible for its own project communications and service administration. This policy applies to visitors, prospective clients, clients, authorized project contacts, and individuals whose information is provided in connection with the work.

The website is hosted using Shopify. Shopify and other service providers may process information to operate their own services as described in their applicable notices. This policy does not replace a third party’s privacy notice or describe every activity of a platform over which Naturefilm Studios has no control.

02. Information you provide

When you communicate with Naturefilm Studios or engage its services, the information may include your name, email address, phone number, business or organization details, role, project description, footage length, proposed schedule, delivery requirements, review notes, correspondence, billing details, and records needed to administer the agreement.

Project materials may contain personal information such as identifiable images, voices, names, contact details shown on screen, or other information recorded in the footage. The type and amount depend on the material you supply. Please provide only the information necessary for the agreed work and ensure that you have the required permissions.

Naturefilm Studios does not ask for bank login credentials, account passwords, government identification documents, or full payment card details through the website project form. Do not include sensitive material that is unrelated to the project.

03. Current project form behavior

The project form in the current website implementation validates the entered fields and displays a confirmation inside the browser. It does not submit those values to Naturefilm Studios, send an email, take payment, or create a server-side project record. The custom form code does not store field values in cookies or browser local storage. Values may remain in the open page until the form is reset or the page is closed, and your browser may separately offer autofill or form recovery.

The confirmation indicates completion of the local form interaction. It does not establish receipt by the studio or acceptance of a service agreement. Separate communication using the contact information below is needed to begin a project while this local mode remains in place.

If a transmission service is connected later, this policy must be updated before that change is made live to identify the actual collection, recipients, purposes, and retention practices. The sections below describe handling of information actually received through direct communications and agreed client work.

04. Information from website operation

Hosting and network services may process information associated with a website request, including an IP address, browser type, device information, pages requested, approximate location derived from an IP address, access time, and technical or security logs. Shopify may use cookies and similar technologies as part of the hosted storefront, subject to the store configuration and applicable privacy choices.

The supplied custom sections do not install advertising pixels or an analytics tracker. They do load font resources and animation libraries from external delivery services. Those services receive the technical request information needed to serve the files. Additional apps, embeds, or theme features installed by the website operator may introduce other processing and must be reflected in the actual site configuration and notices.

05. How information is used

Information actually received by Naturefilm Studios is used for purposes relevant to the requested services.

• Responding to inquiries and clarifying a project brief.
• Preparing quotations, agreements, invoices, and delivery instructions.
• Organizing and editing supplied media and applying client feedback.
• Communicating about approvals, revisions, schedules, and file transfers.

A project inquiry is not automatic permission to send unrelated promotional messages. Any future marketing activity requiring permission will use an appropriate consent process and an available opt-out method.

06. Legal grounds where required

Where a law requires a legal basis for processing, the relevant basis depends on the purpose. It may be steps requested before a contract, performance of a contract, compliance with a legal obligation, or legitimate interests in providing and protecting a professional service, provided those interests are not overridden by your rights. Consent is used where it is legally required, including for particular optional tracking or communications.

Where processing relies on consent, you may withdraw it, without affecting processing lawfully carried out before withdrawal. Some information may still need to be retained or processed on another lawful basis, such as completing an existing agreement or maintaining required accounting records.

07. Service providers and disclosures

Information may be disclosed to service providers that are needed for the actual project or business operation, such as hosting, business email, file transfer, storage, invoicing, payment, or professional advisers. Only providers actually used for the relevant activity receive the information, and access should be limited to what is necessary.

Naturefilm Studios may also disclose information where required by law, a valid legal process, or a lawful regulatory request; to protect rights and address security concerns; or as part of a legitimate business reorganization with appropriate confidentiality and legal safeguards.

Naturefilm Studios does not sell client contact details or project footage as a business activity. The custom website sections do not perform targeted advertising or transmit form contents to advertising networks. Different Shopify features or apps may have separate data practices; applicable consent and opt-out settings must be configured for the features actually enabled.

08. Project footage and third-party subjects

When a client supplies footage containing other people’s personal information, the client is responsible for the lawful purpose and instructions for that material. Naturefilm Studios uses it to carry out the agreed editing and delivery work. Depending on the applicable law and project arrangement, the studio may act as a processor or service provider for those activities.

A person appearing in a client video may need to contact the organization responsible for the video to exercise rights concerning publication or the underlying recording. If Naturefilm Studios receives such a request, it will assess its role and, where appropriate, refer the request to the relevant client rather than making an unauthorized change to the client’s project.

Do not transfer especially sensitive footage without discussing the handling requirements first. A project-specific data processing or confidentiality arrangement may be needed before the studio accepts that material.

09. Retention and deletion

Information is kept only for as long as reasonably necessary for the purpose for which it was received, applicable legal obligations, business recordkeeping, dispute resolution, and the terms of the project agreement. Different categories have different retention needs; there is no promise that all information is deleted on one universal date.

Source footage, working files, and export access periods are governed by the project agreement and delivery arrangements. Long-term archive services are not automatically included. You should maintain your own copies of original footage and delivered files.

The local project form does not create a server-side retention period because it does not transmit the entered information. Requests concerning information actually received by the studio may be made using the contact details below. Backups and legally required records may not be capable of immediate removal from every system.

10. Security

Naturefilm Studios uses reasonable measures appropriate to the information and the service to limit unauthorized access, disclosure, loss, or misuse. Measures may include access controls, appropriate transfer methods, restricted project sharing, and secure account administration. The actual measures depend on the systems and project requirements agreed.

No website, transmission method, or storage system can be guaranteed completely secure. Avoid sending unnecessary sensitive information, use agreed transfer channels, and tell the studio promptly if a project link has been shared with an unauthorized person or you suspect that relevant account access has been compromised.

11. International processing

Hosting, communication, and file delivery services may operate in different countries. As a result, information may be processed outside your location and may be subject to different local laws. Where applicable law requires safeguards for a cross-border transfer, the relevant arrangement must use an appropriate legal mechanism or other permitted basis.

This policy does not assert that every project is stored exclusively in the United States or in a particular jurisdiction. If a project has location-specific storage requirements, those requirements must be raised and agreed before transfer.

12. Privacy rights

Depending on your location and the applicable law, you may have rights to request access to personal information, correction, deletion, a copy in a portable format, restriction of processing, or objection to certain processing. Rights to withdraw consent, opt out of particular disclosures, or complain to a supervisory authority may also apply.

To make a request, contact Naturefilm Studios with enough information to identify the relevant interaction. The studio may need proportionate verification of your identity or authority before disclosing or changing information. Do not send identification documents unless a secure and justified verification method has been agreed.

Requests are assessed under the law that applies, including permitted exceptions, response periods, contractual confidentiality, and the rights of other people. The studio will not discriminate against you for exercising a legally protected privacy right. An authorized agent may be asked to provide evidence of authorization.

13. Cookies and privacy choices

The Cookie Policy describes the categories of technologies that may operate on the Shopify-hosted website and the distinction between the custom sections and other installed features. Where optional tracking requires permission, the Shopify privacy controls or another properly integrated consent tool must be used before that tracking is enabled.

You can also adjust browser settings to block or remove cookies. Doing so may affect certain site functions. The absence of advertising code in these custom sections does not, by itself, describe every cookie that a Shopify theme or later installed app may use.

14. Children and service scope

The services are intended for business, organizational, and creative project contacts who can enter an agreement. The website is not directed to children under 13, and Naturefilm Studios does not knowingly collect their information through an inquiry process.

If a client project contains footage of minors, the client remains responsible for the required permissions, lawful instructions, and any special handling arrangements. If you believe a child’s information has been provided directly to the studio inappropriately, contact the studio so that the concern can be assessed.

15. Changes to this policy

This policy may change when the form behavior, service providers, website features, or applicable requirements change. The last-updated date identifies the current version. Material changes will be communicated as required by applicable law.
